Quotes, briefly

The clearest quote usually wins, not the cheapest.

Clients compare what is included, when you can start and what they pay upfront. Put those on the page, with a date the price holds until, and you answer the questions that stall a yes.

What should a quotation include?
Your business name and contact details, the client’s name, a quote number, the date and how long the prices are valid, each item with quantity and price, tax, the total, any deposit, and your terms: what is included, what is not, and when work starts.
What is the difference between a quote and an estimate?
A quote is a fixed price: if the client accepts it, that is what they pay. An estimate is your best guess and can change as the work goes on. If the price may change, call the document an estimate in the notes and say what could change it.
How long should a quote be valid?
Thirty days is common. Use a shorter time if your material or supplier prices move quickly, and say so in the terms.
Should I ask for a deposit?
For new clients and for work with upfront costs, yes. 25 to 50 percent before starting is normal for building, design and software work. Add the deposit percentage and the quote shows the amount.
How do I turn an accepted quote into an invoice?
Click “Accepted? Turn into invoice”. The client, items and totals stay; the number changes from QT to INV and the due date is set 14 days from today. Then download the invoice as a PDF.
Quoting for a website?
The website cost calculator gives the hours behind each part of a site, which you can copy straight into the quote as line items.
